ORDER PROCESS
Step 1. Receive order
- Receive requests from customers (via email, phone, website…).
- Confirm order information : Fruit type, quantity, quality, size, packaging, delivery time, shipping method.
- Quotation: Agreement on price and payment method
- Signing a commercial contract : After finalizing the price and payment method with the customer, the two parties will sign a commercial contract.
- Commercial invoice issuance: Based on the contract price and payment terms, we will issue a commercial invoice to the customer.
Step 2: Receive order
- Work with growers/farms : place orders, check yields and quality.
- Fruit harvesting : ensure harvesting at the right time and according to technical requirements.
- Pre-processing : Washing, sorting, checking input quality (According to GAP, HACCP standards… if any).
- Quality control throughout the preparation process, packaging staff and QC staff will continuously check the products to ensure that they meet the requirements of customers and import markets in terms of quality, size and packaging specifications.
Step 3: Packing goods
- Packaging on request : Carton, foam tray, fruit protection net, shrink film, labels (with origin, packaging date…).
- Plant quarantine treatment : Disinfection spraying, irradiation, hot steam treatment (If required by the importing country).
- Final check : Quality, quantity, packaging and storage temperature.
Step 4: Export procedures & Shipping goods
- Work with FWD to find the most optimal and safest shipping option and promptly notify the Customer of the shipping line name, shipping time, ETD & ETA.
- Apply for a Phytosanitary Certificate at the Plant Protection Department.
- Request certificate of origin (C/O) if needed (Form D, E, AK…).
- Electronic customs declaration : Open declaration, submit documents at Customs Branch.
- Customs clearance : Check goods (if any), seal container.
- Deliver refrigerated containers to warehouse (If shipping by sea) or directly to airport (If shipping by air).
- Monitor storage temperature during transportation.
- Deliver goods to shipping lines/airlines according to scheduled schedule.
Step 5: Payment and order tracking
- Compile documents: Commercial invoice, Packing list, Bill of lading, Quarantine certificate, C/O, other documents if any. After receiving payment, send documents to customers for import procedures.
- Order tracking : Continuously coordinate with the shipping unit to monitor the safe delivery of goods and notify customers if there are any changes, notify customers when the goods will arrive at the port, and receive feedback from customers.
Step 6: After-sales processing
- Collect customer feedback on product quality and delivery service.
- Resolve complaints ( if any) .
- Evaluate and learn from experience for next orders.
